Virtual Patient Coordinator Placement for DPC Clinics

Reliable support. Personally trained. Made for DPC.

You're already doing it all. Running a Direct Primary Care clinic means you're the provider, the educator, the business owner — and too often, the front desk.

I’ve worked inside a DPC practice since the day it opened — over 7.5 years ago — and have spent the last 3.5 years working exclusively as a VPC. I’ve seen firsthand how much difference the right support person can make for both patients and providers.

What if you had a trusted virtual team member to handle the admin side — one who understands the DPC model, your flow, and your patients?

That's what we offer.

At Socially Thriving, we help Direct Primary Care practices find and train Virtual Patient Coordinators (VPCs) who are confident, kind, and ready to make your day run smoother.

This program is designed to take the burden off your shoulders while still giving you full control of who you hire and how they operate in your clinic.

What You Get

This is a done-for-you solution. We handle everything:

  • Intake interview to understand your practice inside and out
  • Candidate sourcing, vetting, and interviews
  • A compatibility-focused match based on your hours, tone, and pace
  • Full live training with real-world DPC scenarios
  • Scripts, templates, and practical tools tailored to DPC
  • 30 days of direct support after placement via email and text
  • Check-ins at 1, 3, and 6 months to ensure long-term fit and satisfaction

Tasks Your VPC Can Handle

Your new VPC will be trained to confidently take on:

  • Answer phones and return voicemails
  • Schedule visits, onboard new patients
  • Explain your membership model clearly to interested callers
  • Manage inboxes, messages, and faxes with professionalism
  • Support new patient follow-up and document flow
  • Handle administrative workflows with minimal hand-holding
  • Know when to escalate issues like suicidal patients, emergencies, or billing confusion

No healthcare experience? No problem. We train them to be DPC-ready.

Matched for Compatibility

We don't just pair based on skills. We match based on tone, energy, and pace. Our provider intake form covers:

  • Your hours and time zone
  • Communication preferences and workflow style
  • Practice vibe (structured, casual, high-touch?)
  • Your past wins and pain points with staff
  • Whether you're open to training post-placement or prefer a turnkey handoff

Each Virtual Patient Coordinator is personally interviewed before they are accepted into training. We want to make sure this role is the right fit for them, that they understand the heart of DPC, and that they’re likely to thrive with the kind of practice we match them with.

You’ll have the option to interview your VPC or trust us to place someone who aligns with your values.

What You Provide

  • Access to your preferred systems (Spruce, Hint, EMR, etc.)
  • Clear instructions on what the VPC should handle vs. what your clinic manages
  • Payment directly to your VPC (you’ll handle pay rates, not me)
  • A little grace while they get to know your flow — they’re trained, but learning your clinic will take some hands-on time

Is This Right for You?

YES — If you…

  • Own or manage a DPC clinic
  • Are drowning in messages, scheduling, and admin
  • Want someone remote but reliable
  • Don’t have time to train someone from scratch

NOT YET — If you…

  • Need a clinical staff member (RN, MA)
  • Don’t have your systems set up yet, VoIP, EMR, etc.
  • Aren’t yet clear on what kind of help you need
  • Don’t have the time or budget to onboard/pay a VPC after placement
  • Prefer to keep all communication and admin fully in-house for now

Frequently Asked Questions

  • How long does it take to place a VPC?

Most VPC placements happen within 1–2 weeks after we receive your intake form. Timing depends on your clinic’s needs, availability, and the match process.

  • Do I have to train the VPC myself?

Nope — that’s what we’re here for. Your VPC will receive live training customized to the DPC model before they start with you. We also offer 30 days of support and troubleshooting post-placement.

  • Do you hire the VPCs directly?

No — you handle employment and payment. We help you find and train the right fit, then hand them off to you. You decide whether they are W-2 or independent contractors.

  • What if I’m not happy with the person placed?

We’ll work with you to resolve concerns or, if needed, provide a replacement candidate. We want the fit to feel right — for both of you.

  • Can I interview my VPC before placement?

Absolutely. You can choose to interview final candidates or trust us to place someone aligned with your values and workflow.
